Mvmt Theory ("we", "us", or "our") is a physiotherapy and multidisciplinary rehabilitation clinic located in South Surrey, BC. We are committed to protecting the privacy of our patients and website visitors. This policy describes how we collect, use, disclose, and safeguard personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and applicable Canadian privacy legislation.

1. Information We Collect

Clinical information: When you become a patient, we collect information needed to provide care — such as your name, contact details, date of birth, health history, assessment findings, treatment records, and insurance details (ICBC claim numbers, WorkSafeBC file numbers, or extended health plan information). This is collected in clinic and through our online booking provider, Jane App.

Contact information: If you email us, we receive your email address and the contents of your message, used solely to respond to your inquiry.

Website analytics data: Our website uses Google Analytics, which collects non-identifying technical data such as browser type, device type, approximate location, pages visited, and how you found our site. See section 5 for details.

2. How We Use Your Information

We use personal information to provide and document clinical care, schedule appointments, process insurance claims and direct billing, respond to inquiries, meet our regulatory and professional obligations, and understand how our website is used so we can improve it. We do not sell, rent, or trade your personal information.

3. Third-Party Services

Jane App: Online booking is provided by Jane Software Inc., which stores booking and health information on secure Canadian servers and is governed by its own privacy policy.

Google Analytics & Google Maps: Our website uses Google Analytics to measure site traffic, and embeds Google Maps to display our location. Both are operated by Google and governed by Google's privacy policy.

Social media: Links to our Instagram and Facebook pages take you to platforms governed by their own privacy policies.

4. Disclosure of Your Information

We may share information with clinicians involved in your care, with insurers (ICBC, WorkSafeBC, and extended health providers) as required to process your claims, with your referring physician where you have consented, and with legal or regulatory bodies where required by law. Any disclosure beyond routine care coordination requires your consent, except where disclosure is required or permitted by law.

5. Cookies & Website Analytics

Our website uses Google Analytics, which sets cookies to distinguish visitors and measure aggregate site traffic. This data does not include your name or contact details, and we do not use it for advertising. You can decline analytics cookies by adjusting your browser's cookie settings or installing Google's Analytics opt-out browser add-on. The website works fully without them.

6. Consent

By receiving care at Mvmt Theory or using our website, you consent to the collection, use, and disclosure of personal information as described in this policy. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us in writing. Withdrawing consent may affect our ability to provide care.

7. Retention & Security

Clinical records are retained in accordance with the standards of our regulatory colleges — typically a minimum of 16 years from the date of the last clinical entry, or longer for minors — and are stored in secure, access-controlled electronic systems. We use administrative, technical, and physical safeguards to protect personal information, though no electronic system can be guaranteed completely secure.

8. Access & Correction

You have the right to request access to your personal information and to request corrections where you believe it is inaccurate or incomplete. Requests must be made in writing to the contact below, and we will respond within 30 business days.

9. Children & Minors

We provide care to patients of all ages. For minors, we collect personal information with the consent of a parent or legal guardian as required by BC law.

10. Changes to This Policy

We may update this policy from time to time. The "last updated" date above reflects the most recent revision, and the current version will always be posted on this page.
